Our Commitment

    

At Vagary Travels, we provide professional travel planning and booking services. This guide explains what we do and the fees we charge so everything is clear and transparent.

  

Our Role as Your Travel Agent

We act as your travel advisor and booking agent, helping you:

  • Design customized trips
  • Compare options and suppliers
  • Manage bookings and payments
  • Provide support before and during travel

 We are paid in two ways:

  1. Commissions from travel suppliers (airlines, hotels, cruise lines, tour operators, etc.), and
  2. Professional service fees, listed below, which help cover our time, expertise, and support.

Service fees are independent of supplier prices and are generally non-refundable, even if your plans change.

These fees cover our time, expertise, research, and trip design—even if you decide not to travel or to book elsewhere.


Trip Planning / Itinerary Design

  Basic Trip Planning Fee

  • For simple trips (e.g., domestic flight + hotel, 1–2 destinations)
  • Fee: $250.00USD per household / booking

Premium Custom Itinerary Design

  • For more complex trips (multi-city, international, multiple components)
  • Fee: $1,500.00 - $2,000.00USD per trip, depending on complexity   

Includes:

  • Consultation (phone/Zoom/email)
  • Research and proposal of up to [2–3] itinerary options
  • Refinement of your chosen option
  • Booking and management of selected services
  • Final detailed itinerary document

Planning fees are due before research and proposal delivery and are non-refundable


Air Ticketing & Flight Management Fees

  

These fees apply when we book and manage your flights.

Air Ticketing Fee – Domestic (U.S.)

  • New ticket issuance
  • Fee: $50.00USD per ticket   

Air Ticketing Fee – International

  • New ticket issuance
  • Fee: $75.00USD per ticket

Air Change / Reissue Fee

  • For voluntary changes (date/time/route) plus any airline charges
  • Fee: $50.00USD per ticket per change 

Airline Schedule Change Management

When airlines change or cancel your flights 

  • Fee: $10.00USD per incident

 (if significant re-routing needed) 

All airline penalties, fare differences, and third-party charges are additional to our service fees 


Hotel, Resort, and Land Package Fees

    

Hotel / Resort Booking Fee

  • Applies when booking standalone accommodations (no air)
  • Fee: $50.00USD per booking (up to 5 rooms)

Land Package Coordination Fee

  • For packages including hotel + transfers + tours
  • Fee: $200.00USD - $300.00USD per trip, depending on complexity

Includes:

  • Supplier communication
  • Coordination of components (transfers, tours, add-ons)
  • Final confirmation package

In some cases, we may waive or reduce fees when commissions are strong; this is at our discretion and will be communicated 


Cruise & Tour Package Fees

  Ocean or River Cruise Booking Fee

  • New cruise booking, up to 10 cabins
  • Fee: $150.00USD per cabin

Guided Tour Package Booking Fee

  • Group or escorted tours (e.g., major tour operators)
  • Fee: $50.00USD per booking

Group Travel Management Fee (for 10+ travelers or multiple cabins/rooms)

  • Includes group coordination, rooming lists, group communication
  • Fee: Starting at $75.00USD, quoted based on group size and complexity 


Change, Cancellation & Administrative Fees

These fees cover our time managing changes and cancellations with suppliers.

Itinerary Change Fee (Non-Air)

  • Date/time changes for hotels, tours, transfers, etc.
  • Fee: $50.00USD per change request (may include multiple items)

Cancellation Processing Fee 

  • When you choose to cancel a confirmed trip/booking
  • Fee: $75.00USD - $100.00USD per booking

This is in addition to any supplier penalties (e.g., non-refundable deposits, cancellation fees).

Documentation Reissue / Reprint Fee

  • Updating and reissuing document


Travel Insurance

  

  

We highly recommend purchasing travel insurance.

Insurance Quote & Enrollment Assistance

  • Fee: $10.00USD per policy

Includes:

  • Providing quote options from partner insurers
  • Enrolling you in the policy you select
  • Supplying policy documents and contact details

We are not an insurance company and do not decide claim outcomes. Claims are handled directly by the insurer.


Premium & After-Hours Support (optional)

  

You may choose upgraded support services.

Premium Concierge Support

  • Priority support by phone/email/text
  • Assistance with special requests (dining, spa, activities reservations)
  • Fee:  $500.00USD per trip or $250.00USD per week of travel


After-Hours Emergency Assistance

  

For urgent issues outside normal business hours (e.g., missed connections, cancellations)

  • Fee:
    • Option A: Included with Premium Concierge package
    • Option B: $50.00USD per incident

We will always clarify which support level you have selected before charging any premium support fees.
